This policy explains what we do with your personal data when you enquire about a pool. It is written in plain English rather than legal language; if anything here is unclear, email us and we'll explain it. It doesn't affect your statutory rights.

Dulwich Pool Co is a trading name of HPH Maintenance Ltd, company number 07268059, registered address 5th Floor Ashford Commercial Quarter, 1 Dover Place, Ashford, Kent, England, TN23 1FB. We are the "data controller" for the personal data described in this policy.

What data we collect

When you get in touch — through the enquiry form on this site, by email, by phone or over WhatsApp — we may collect:

Your name, email address and phone number
Your postcode or address, and rough garden size, where provided
Details of your enquiry, including any photos or plans you choose to send us
Nothing else. We do not run website analytics, advertising pixels or visitor tracking of any kind — see our Cookie Policy.

The enquiry form on this site is handled by Netlify Forms, provided by Netlify, Inc., which hosts this website. Netlify processes your submission on our behalf and passes it to our inbox. As part of hosting, Netlify records standard server log data such as IP address and browser type for security and abuse prevention; this is not used by us to build any profile of you.

Why we use it, and our legal basis

To respond to your enquiry and arrange a feasibility visit — necessary to take steps at your request before entering into a contract.
To prepare quotes and deliver a project you've commissioned — necessary for performance of a contract.
To keep records for accounting and tax purposes — necessary to comply with a legal obligation.
To occasionally follow up on an enquiry that's gone quiet — our legitimate interest in running the business, balanced against your right to be left alone if you ask us to stop.
To send you marketing updates — only with your specific consent, and you can withdraw this at any time.

Who we share it with

We don't sell your data. We may share relevant details with:

Trades and specialists directly involved in your project (for example pool engineers or structural consultants), only as needed to deliver the work
Netlify, Inc. as our website and form host, and our email and accounting software providers, all acting as data processors under contract
Regulators or authorities where we're legally required to

Some of these providers operate outside the UK. Where personal data is transferred abroad it is protected by UK-approved safeguards, such as the UK International Data Transfer Addendum to the EU Standard Contractual Clauses.

How long we keep it

Enquiries that don't proceed: 24 months from your last contact with us, then deleted.
Quotes and proposals not accepted: 24 months from the date of the quote.
Completed project records (contracts, invoices, correspondence, site photos): 7 years after the end of the relevant financial year, to meet UK accounting and tax requirements.
Structural, warranty and building-control records: 12 years from practical completion, matching the length of our structural guarantee and the limitation period for construction claims.
Marketing consents: until you withdraw consent, and for 24 months afterwards as a record that consent was withdrawn.
Netlify Forms submissions held in the hosting dashboard: deleted within 12 months of the enquiry, once copied into our own records.

We review these records annually and delete anything we no longer need.

Your rights

Under UK GDPR, you have the right to:

Ask what personal data we hold about you, and get a copy of it
Ask us to correct inaccurate data
Ask us to delete your data, in certain circumstances
Object to, or ask us to restrict, how we use your data
Withdraw consent at any time, where we're relying on consent

To exercise any of these, contact us at hello@dulwichpoolco.com. We respond within one month. If you're not satisfied with our response, you can complain to the Information Commissioner's Office (ICO).
